Frequently Asked Questions

What does the Facility Fee include?
The fee includes rental of the room for the time period indicated on your Facility Agreement, with advance set-up of the tables and chairs to your specifications by The Conference Center’s staff. An Event Host will be here throughout your event to assist you with any facility needs. The fee also includes the use of all AV equipment (i.e. LCD projector, screen, microphone, computer and conference calling). Use of a computer to access the Internet is included as well.

Do you require a specific caterer, or may we bring in our own food?
We are happy to help you select a caterer from our Recommended Caterers list or you can introduce us to your caterer as long as they have the proper license, insurance and workers compensation certificates. Unfortunately, due to insurance issues, bringing in your own food is not allowed unless it is provided by a professional caterer as mentioned above.

Can I bring in alcohol? Are there any restrictions?
We require the use of a licensed and insured server and we will provide you with the list of approved providers. Many caterers also provide this service.

Do you provide plates, silverware, glasses, etc.?
Yes. We provide all the drinkware with our VIP Beverage Service.

What is included in the VIP Beverage Service?
Our service includes regular and decaffeinated Green Mountain Coffee, a selection of Tazo hot teas, iced water, creamers and sugars, cocktail napkins and beverageware at a self-serve station. Your Event Host will keep the service refreshed to your specifications. We also offer optional fruit juices, sodas, and Snapple cold teas for an additional charge, based on consumption. Do we pay for set-up and clean-up time? Do we set-up, clean, etc.?
Our clients contract for the entire time they occupy the facility, so plan to include your set-up time (including your caterers and other vendors) and clean-up time. Please remember, however, that we will have all the tables and chairs set-up in advance to your specifications. After your event, we ask that you remove any items you’ve brought in and place your trash in the receptacles provided. Our staff will take care of the rest.

Can I come in early/the night before to set-up?
Set-up time must be part of the contracted event time. If you wish to come in the night before, you are welcome to book the space for the one-hour minimum, based on availability. Arriving earlier than your contracted start time will incur additional cost.

How late can our event go?
We strongly encourage all events to end by 10:00 p.m. unless, special arrangements have been made.

Is parking available?
The parking lot behind our facility is available for the exclusive use of The Conference Center guests, for a total of six spaces. Paid parking is also available on the street and at the Eagle’s parking lot behind The Conference Center.

How can I get to The Conference Center?
We are conveniently located in downtown Fall River, just off Interstate 195. Directions with a map are available.

Cancellations
If for some reason you will not be holding your event on the agreed upon date, the following cancellation policy and charges will apply:

  1. Events cancelled less than 30 days prior to scheduled date will be charged 100% of estimated event revenue
  2. Events cancelled more than 30 days prior to scheduled date will be charged 50% of estimated event revenue.
  3. Cancellation must be made with our Sales Office between the hours of 9:00 a.m. and 5:00 p.m. Monday through Friday.  All cancellations must be confirmed in writing.

Liability
Liability for any damages incurred by guests or attendees, is the sole responsibility of the host or organization booking the event and will be charged accordingly.  The Conference Center cannot assume responsibility for personal property or equipment brought into or left in the function space.

Customer Satisfaction
Our staff is committed to making your event the most memorable and successful possible.  Following your function, a comment card will be sent to you for your feedback.  We ask for your candid responses on our services, products, and staff so we can continually monitor and improve our performance.  Should you feel that we failed to meet your expectations, please consult our General Manager.
